Office Clerk

Description

The office clerk actively supports the construction team by ensuring smooth daily operations. They assist the supervisor and assistant supervisor with administrative coordination, document management, and internal communication. The clerk may also contribute to project planning, inventory tracking, and liaising with suppliers. This role requires flexibility, initiative, and the ability to adapt to a dynamic work environment.

Responsabilites

  • Assist the construction supervisor and assistant supervisor with daily administrative and operational tasks
  • Coordinate and complete employee work sheets
  • Organize and manage equipment rentals
  • Prepare and submit weekly hour reports for payroll and project tracking
  • Monitor and maintain inventory levels, including tools, materials, and supplies
  • Support project estimation by gathering data and preparing preliminary cost analyses
  • Prepare material orders and follow up on deliveries
  • Track and update construction plans
  • Handle incoming and outgoing document correspondence, including contracts, invoices, and permits
  • Perform general secretarial duties such as answering calls, scheduling meetings, and filing documents
  • Develop and maintain estimation tables and cost reports
  • Establish and maintain an efficient and organized filing system for physical and digital documents
  • Communicate with suppliers, subcontractors, and internal teams
  • Provide support in preparing documentation for inspections, certifications, and compliance requirements
  • Contribute to improving administrative processes and workflows within the construction department

Profile sought

  • Hold or be in the process of obtaining a vocational diploma in administration or have relevant years of experience
  • Good command of information systems (Office, Sage, Oracle)
  • Strong organizational and priority management skills
  • Good knowledge of spoken and written French and English
